How your information is handled
At Access Aligned, I believe you should be able to communicate your access needs clearly without having to repeatedly explain, justify, or defend them.
This page explains what access information is, how it is used, who can see it, and the choices you have about sharing it.
What Is Access Information?
Access information is any information that helps an event, venue, or organisation understand what support or adjustments you may need.
This could include:
- Step-free access requirements
- Seating requirements
- Quiet space requirements
- Communication preferences
- BSL interpretation requirements
- Accessible toilet requirements
- Medical equipment or charging needs
- Companion, PA, carer, support worker, parent, guardian, or essential support person requirements
- Sensory considerations
- Other accessibility-related requests
Access information is about what helps you access an event, not about proving why you need it.
You Control What You Share
You remain in control of your information at all times.
You can choose:
- What information is included in your profile
- Which information is shared with organisers
- Whether emergency information is included
- Whether information is shared for a specific event
You can update or remove information at any time.
Connected Support Accounts
Access Aligned recognises that support people may also have their own access requirements.
A personal assistant (PA), carer, support worker, parent, guardian, companion, or other support person can create a support account and connect it to the person they support. Support account holders can manage bookings and access requests on the attendee's behalf, with permissions the attendee controls.
Connected accounts help with:
- Managing event bookings
- Managing access requests
- Receiving updates
- Communicating with event organisers
- Supporting event attendance
Privacy Between Connected Accounts
Connected accounts do not automatically share access information with one another.
For example:
- A person with access needs cannot view the access profile or access requirements of their PA, carer, or support person unless information has been intentionally shared.
- A PA, carer, or support person cannot automatically view all information within the access customer's profile unless permission has been granted.
Each person remains in control of their own access information.
Support People With Their Own Access Needs
I recognise that many support people have access requirements of their own.
For example, a PA, carer, parent, guardian, or support worker attending an event may require:
- Accessible parking
- Step-free access
- Seating
- Quiet spaces
- Communication support
- Other accessibility adjustments
Connected accounts can maintain separate access profiles so that the needs of both individuals can be considered when planning support.
Access Aligned aims to ensure that support arrangements do not result in either person's access needs being overlooked.
Accounts for Children and Young People
Access Aligned allows a parent, guardian, or authorised representative to manage an account on behalf of a child or young person.
This can help ensure that access information is kept up to date and that event requests can be managed appropriately.
Turning 18
When an account holder reaches the age of 18, Access Aligned will invite them to create their own login credentials.
Creating a login is optional.
If they choose to create their own login, they will be given the opportunity to:
- Take control of their account
- Manage their own access information
- Review sharing permissions
- Update account settings
- Decide who can access their information
Revoking Parent or Guardian Access
Once a young person creates their own login, they may choose to:
- Continue allowing a parent or guardian access to the account
- Adjust permission levels
- Remove a parent or guardian's access entirely
Access Aligned believes that adults should have control over their own information wherever possible.
Any changes to permissions can be managed through account settings and may be updated at any time.
Where safeguarding concerns or legal arrangements apply, additional requirements may be necessary.
What Event Organisers Can See
Event organisers only see information that is relevant to providing accessibility support.
Depending on your settings, organisers may be able to view:
- Requested adjustments
- Priority levels
- Event-specific information
- Information you have chosen to share
Organisers do not automatically receive access to all of your profile information.
Why We Collect Access Information
I collect access information to:
- Help organisers prepare in advance
- Reduce the need for repeated explanations
- Improve communication
- Match access needs with available services
- Improve event accessibility planning
My goal is to reduce barriers, not create them.
Trusted Verification
Most access adjustments on Access Aligned do not require verification.
However, some organisations may require verification for specific services, such as:
- Complimentary or reduced-fee companion, carer, PA, support worker, parent, guardian, or essential support person tickets
- Queue adjustments
- Other organisation-defined services
Access Aligned aims to reduce the need for disabled people to repeatedly provide evidence of need.
Once your verification has been approved through Access Aligned, your verification status can be recognised by participating organisations across the platform.
This means:
- You only need to complete the verification process once
- You do not need to repeatedly upload the same evidence for every event
- Participating organisations can see that your verification has been approved
- Participating organisations cannot access your original documents
Verification is normally valid for three years.
My goal is to remove unnecessary administrative barriers and reduce the burden of repeatedly proving access requirements.
What We Do Not Do
Access Aligned does not:
- Sell your information
- Share your information without permission unless legally required
- Require medical evidence for most access adjustments
- Share information with unrelated third parties
Fluctuating Needs
I understand that access needs are not always the same every day.
Where available, you may choose to describe:
- Typical support needs
- Lower support needs
- Higher support needs
This helps organisers better understand fluctuating conditions and prepare more appropriately.
Emergency Information
Emergency information is optional.
You can choose whether to include:
- Emergency contacts
- Medical considerations
- Communication preferences
- Information about what helps during distress, shutdown, overwhelm, or crisis situations
You can edit or remove this information whenever you wish.
